Owing to continued growth and expansion we are looking for a highly efficient and dynamic Production assistant for our team. The role consists of coordinating and managing the production process of our client’s merchandise. This role ensures that products are produced efficiently, meet quality standards and are delivered on time. JOB ROLE
In this role, you will manage the production lifecycle, from planning and sourcing to quality control and delivery, ensuring that all merchandise meets the highest standards while staying within budget and timelines. The ideal candidate has a keen eye for detail and quality, and the ability to manage multiple projects simultaneously in a fast-paced environment:
- Establish working relationships with Operations, Design, Production and Finance team.
- Planning and scheduling production timelines.
- Monitoring open orders and chasing suppliers for updates to ensure they are delivered within specified delivery dates.
- Track and monitor production status and update relevant clients.
- Conduct regular quality checks to ensure products meet specified standards and address and resolve any quality issues in a timely manner.
- Assist in managing stock levels and ordering supplies as needed.
- Coordinate with suppliers, manufacturers, and internal teams to ensure smooth production flow.
- Prepare and maintain production documentation, including work orders, purchase orders, and production schedules.
- Assist in negotiating prices and terms with suppliers.
- Provide administrative support to the Production Director.
- Deal with all queries – suppliers, in-house teams and clients may have.
- Sampling styles with suppliers, inspecting and sending for final approval.
- Work with finance to process invoicing. Supporting finance and supply chain on any supplier queries and ensuring our PO’s match the financials.
EXPECTATIONS
- Previous experience in a production or administrative role, preferably in the music or manufacturing industry.
- Proficiency in Microsoft Office Suite and / or Google Drive and account software (Xero is a plus.)
- Attention to detail and a problem-solving mindset.
- Adhere to deadlines and ensure tasks are completed promptly.
- Understand the needs and expectations of our clients and ensure products meet these requirements.
- Maintain a high level of accuracy in all tasks, from data entry to quality control checks, minimising errors and ensuring high standards.
- Provide regular updates on production status and promptly report any issues or delays to the Customer Service team.
- Address and resolve issues quickly and efficiently, seeking guidance when necessary.
- Saving all information into the google drive folder for the client, to ensure that everyone has complete transparency on production and processes.
- Communication is key, use all resources within the Allotment Productions Group to ensure the information we are presenting is clear, concise and relevant to the current requirements.

Allotment Productions Ltd is looking to hire an experienced Tour Manager to oversee our extensive touring schedules across UK and Europe. Based in our Reading Office (UK), we are looking for a dynamic individual who can hit the ground running with our busy setup.
ABOUT YOU
As a Senior Manager of the business, you will be expected to communicate in a timely manner with our clients to offer clean and clear directions regarding all aspects of touring. Using your broad knowledge, communication and problem solving skills, you will have the ability to work under pressure and manage multiple priorities. Demonstrating the ability to lead and manage a team effectively with strong interpersonal skills. Your skillset should include, but not be limited to the following:
TOUR PLANNING & MANAGEMENT
- Forecasting clients requirements for running tours using data supplied
- Experience in seeing trends which affect the above
- A fair amount of knowledge using tour sales software, including but not limited to AtVenu
- Preparing and understanding FEU // Import and Export documentation and other pertinent info for smooth running of touring services
- Comfortable and competent preparing clear and precise end of tour settlements for various territories, as well as liaising consistently with our Finance teams
- Oversee cash handling, card payments, and reconciliation from each venue
- Build detailed documents to ensure accessible use for other departments as well as controlling correct information in a fast and efficient manner
- Communicating with relevant departments to ensure merchandise is prepped and ready for completion of shipments
- Coordinate the return of unsold merchandise with client lead
- Participate in post-tour debriefs and provide recommendations for future improvements
- Comprehensive understanding of Excel and Google Services
DEPARTMENT MANAGEMENT
- Ensuring the team is well established with the importance of time management and exercises this with their day-to-day structure. Making sure timeframes are met with ease, especially settlements for clients
- Developing and maintaining new department processes and procedures that affect the team in a positive manner
- Proactive approach to department KPI’s and striving for positive and consistent growth with the team
- Ensuring the team are trained to the highest standard to enable the processing of counts and shipments are met with the same consistency every time. Establishing a great working relationship with clients/venues to assist with the smooth deliveries
- As well as running the department and managing the team, being a part of the processing of stock and deliveries for tours/shows is fundamental to the team building approach
- Maintaining accurate records of stock in the warehouse for all clients. Challenging any discrepancies
- Comprehensive understanding of Excel and Google Services
EXPECTATIONS
- Proven experience in tour/merchandise management, preferably in the music or entertainment industry
- Overseeing logistics for all sizes of shipments to do with the Tour department
- Liaising with merch reps and management to arrange delivery and collection of merchandise for tours/gigs
- Working with couriers and delivery companies to organise the delivery and collection of stock from the road
- Ensuring correct shipping documentation is ready and prepped for deliveries abroad
- Confirm essential shipping of tour equipment is delivered to the correct facility in a cost effective way
- Proficiency with inventory management systems and accurately counting stock that is returned from tours/shows
- Travelling over to the Brussel’s office to establish a consistent working relationship with the team
- High level of initiative and problem-solving skills
- Willingness to travel and work flexible hours, outside the realm of the structured 9-5
